For a procurement team of 1 to 5 people, the best eSourcing software runs the whole event in one place: invite suppliers, answer their questions, collect responses, score them, award, and keep the audit trail. If you want free sourcing software, oboloo has a free-forever plan for procurement teams with unlimited users, and PowerRFP has a free Starter plan for RFPs. AuraVMS is a low-cost choice for RFQs only. Market Dojo is the strongest paid option if you also run eAuctions, while Prokuria and DeepStream suit growing teams that are happy to talk to sales for a price.

Most small teams start with email and a spreadsheet. It breaks at the same points every time: a supplier asks a question and only they get the answer, responses arrive in five formats, and six months later nobody can show why the winner won. Good eSourcing software fixes those points. Look for a supplier portal, clarification questions shared with all bidders, side-by-side comparison, scoring, a clear award, and a log of every step.
If you only need quick price quotes, our guide to free RFQ software is the shorter read. For formal tenders, see tender management software for buyers.
oboloo is free-forever procurement software for SMEs and charities. You build RFPs, RFQs and RFIs exactly how you want them, and switch between a simple RFQ and a multi-stage RFP with one click (customisable sourcing events). Suppliers get a link to a portal where they answer your questions and upload pricing, without creating an account. They can send clarification questions, and you compare responses side by side. Both are on the free plan. You can reopen an event for a second or third round and invite back only the suppliers you want. A ranked leaderboard shows who won and why, and the audit trail logs every score, comment, submission and rescore. Sourcing Plus ($25 per user a month, billed annually, 14-day free trial) adds reusable templates, supplier questionnaires and weighted scoring by section. Registered charities get 50% off paid plans.
Where it fits less well: oboloo does not offer sealed bids, and weighted scoring needs Sourcing Plus.
PowerRFP calls itself free RFP software with vendor management built in. The free Starter plan includes unlimited RFP projects with up to 5 active at once, AI drafting and in-project messaging. Pro adds unlimited projects and bids, vendor qualification and performance tracking, with a 30-day free trial. Its site describes a built-in scorecard and side-by-side bid comparison. RFQs, RFIs and an audit trail are not mentioned.
AuraVMS is RFQ and supplier quotation software for small businesses. Suppliers respond through an emailed or WhatsApp link with no signup, bids can be anonymous, and every action is logged. Small Team is $4.99 per user a month, billed annually, for a single user; Medium Team is $7.99. RFPs, RFIs and weighted scoring are not mentioned.
Market Dojo has RFI, RFP and RFQ event templates, eAuctions, live messaging and an audit trail that records clarifications. Quick Quotes, its RFQ tool, starts from £100 per user a month, billed annually. Full sourcing starts at £500 a month billed annually, or £1,000 per event as a one-off payment, and weighted, collaborative scoring is on the Pro tier. Its pricing page asks teams of more than 5 users to get a quote.
Prokuria covers RFQs, RFPs and reverse auctions, and keeps detailed logs of each step and supplier interaction for audit. Suppliers take part without creating a login, and there are no supplier licences. Prices are not listed: the estimator shows a monthly starting price, billed annually, after you submit an email address.
DeepStream sells two RFx packages. Basic covers unlimited simple RFx events with 2 stages, an evaluation module, in-app messaging and a full audit trail. Advanced adds multi-stage RFPs, lots and BAFO (best and final offer). eAuctions are a bolt-on. It is priced per full user, per year, with unlimited stakeholder seats, but no amounts are published. Its site says it is built for mid-market teams.
Tradogram runs RFQ and RFP events with side-by-side bid comparison and weighted questionnaires, but sourcing is an add-on on the Essentials plan and its price is not published. Its core is requisitions, purchase orders and three-way invoice matching. If you need purchase orders and invoice approval, Tradogram is built for that; oboloo is not.
Kissflow's procurement product focuses on requisitions, purchase orders and invoices. Sourcing comes as a pre-built RFQ and bid management app on its low-code platform, with a supplier portal, a scorecard and an audit trail. Prices are by quote. It makes most sense if your organisation already uses Kissflow.
Software that runs supplier selection online: you issue an RFI, RFQ or RFP, suppliers respond through a portal, and you compare, score and award in one place with a record of each step.
Yes. oboloo is free forever with unlimited users and covers RFIs, RFQs and RFPs. PowerRFP has a free Starter plan for up to 5 active RFPs at once.
An RFI gathers information about suppliers. An RFQ asks for prices on a clear specification. An RFP asks suppliers to propose how they would meet a need, and is usually scored on more than price.
It depends on the tool. In oboloo, Prokuria and AuraVMS, suppliers respond without creating an account or login.
Rarely. eAuctions suit high-value, price-led buys with several comparable suppliers. If you run them often, Market Dojo, Prokuria and DeepStream offer them.
