The best contract renewal tracking software alerts the contract owner before the notice period closes. The end date matters less, because the notice date is the last day you can cancel or renegotiate. For supplier contracts, oboloo tracks renewal dates and notice periods on a free-forever plan. Renewly has a free plan for 5 contracts and works out the last notice day for you. Contracko is a low-cost paid option at €750 a year, and Spendflo and Gatekeeper suit larger teams that want renewals inside a bigger procurement platform.

Many supplier contracts renew automatically unless you give notice. The notice period is set in the contract, often 30, 60 or 90 days before the end date.
Say a contract ends on 1 March and needs 90 days' notice. To cancel or renegotiate, you have to tell the supplier by 1 December. An alert on 1 February is useless: by then the contract has already rolled over, often at a higher price. So the alert you need is a month or so before 1 December, giving you time to review the supplier, get quotes and decide.
Good renewal tracking software does that maths for you. To work out the dates for a single contract, try our free contract renewal timeline calculator.
oboloo is free-forever procurement software for SMEs and charities. In its contract management, key dates, documents and notice periods are tracked automatically, and you get alerted before renewals, expiries or notice windows close. Each contract sits on the supplier's record, so at renewal time you can see the supplier's documents, scorecards and past sourcing in one place, and run a new RFQ if you want to test the market. These alerts are in the free plan. Contract Plus, at $10 per user a month billed annually, adds custom notifications and contract approvals, and has a 14-day free trial.
Where it fits less well: oboloo does not read contract dates from a PDF for you. You enter the dates when you add the contract.
Renewly is built around one question: the last day you can still say no. It works out the last notice day from the notice period, flags auto-renewal terms, and sends alerts 90, 60, 30 and 7 days ahead on every plan. The free plan covers 5 contracts and 3 seats. Starter is $149 a month or $1,490 a year for 100 contracts, and Business is $499 a month for 500.
Contracko's Small Business plan costs €750 a year for 100 active contracts and 5 users. It sends reminders on notice dates and renewals, lets you assign owners, and syncs with Google, Outlook and Apple calendars. It can extract dates with AI and suggest reminders. There is a 7-day free trial with no card needed.
ContractSafe tracks dates for renewals, expirations and the deadline to cancel, with unlimited reminders and an upcoming dates calendar. It starts at $450 a month, prepaid annually, for up to 100 contracts, with unlimited users. There is a free trial.
Spendflo is a procurement platform for procurement and finance teams. Every plan includes auto-renewal alerts with 30, 60 or 90-day lead times, a renewal calendar and an escalation matrix, and it detects auto-renew clauses 60 days out. Pricing is by quote, as a platform fee plus a charge per request.
Gatekeeper tracks every renewal date with owners and reminders set automatically, and its AI agents pull key dates and terms from contracts. All plans include unlimited users and contracts. Prices are not published; the Pro plan covers up to 250 third parties.
Vendr focuses on software buying, with renewal calendars, early alerts and benchmark pricing data for SaaS negotiations. It is a good fit if most of your renewals are software subscriptions, and less so for facilities, services or goods contracts. Prices are not published.
Whatever tool you use:
Software that records the key dates in each contract, especially the renewal date and notice period, and alerts the contract owner in time to act.
Yes. oboloo is free forever for supplier contracts with unlimited users, and Renewly's free plan covers 5 contracts.
Give written notice before the notice period starts, following the method set out in the contract. To make sure you do not miss it, track the last day to give notice as well as the end date.
The amount of warning you must give the supplier before the contract ends if you do not want it to renew. For example, 90 days' notice on a contract ending 1 March means telling the supplier by 1 December.
You can, with a column for the notice date and a calendar reminder. It works for a handful of contracts and one owner. It breaks down when contracts have different owners, or when nobody opens the spreadsheet. Our free contract renewal checklist helps either way.
