Procurement software that connects to Zapier for a small business (2026)

Several procurement tools have their own app on Zapier, so a small business can connect them to Slack, Google Sheets, a CRM or an accounting package without writing code. We found four on Zapier's own app pages: oboloo (suppliers, contracts and savings, free forever), Gatekeeper (vendor and contract management, quote only), ContractSafe (contracts only, Zapier from its Finalize plan) and ProcurementExpress.com (purchase orders and invoices, from $415 a month). Which one fits depends on what you want to automate: supplier and contract records, or purchase orders and spend.

Full disclosure: oboloo is our product. We read each tool's Zapier app page and pricing page on 28 October 2026.

The tools in more detail

oboloo

oboloo is free-forever procurement software for SMEs and charities, covering supplier management, contract management, sourcing (RFx) and savings tracking. It connects to thousands of apps through Zapier (see no-code integrations).

Its Zapier app lists these triggers: New Supplier, Supplier Updated, New Supplier Notification, New Contract, Contract Updated, New Contract Notification, Saving Record Is Created or Updated, and New Savings Notification. Actions: Create New Supplier, Update a Supplier, Create Contract and Update a Contract. The Supplier Updated trigger includes the supplier's status, so a Zap can pass on only approved suppliers.

Where it fits less well: the Zapier app has no sourcing triggers, so you cannot start a Zap when an RFQ or RFP closes. oboloo does not do purchase orders, invoices or payments. If you want to automate spend approval, a purchasing tool such as ProcurementExpress.com is built for that.

Gatekeeper

Gatekeeper describes itself as vendor and contract management. Its Zapier app has triggers for new and updated suppliers and contracts, supplier and contract approval status changes, and status moves such as Pipeline, Live and Archived. Actions create suppliers, contracts and spend records, and find a supplier by name or custom field. Pricing is by quote only. The Pro plan is "for growing teams" with up to 250 third parties.

Where it fits less well: there is no free plan or published price, so it suits teams ready to book a demo and run a buying process.

ContractSafe

ContractSafe is contract management software. Its Zapier app triggers on contract lifecycle stage, owner, priority and termination date reminder changes, and can create a contract. Pricing starts at $450 a month, shown as prepaid annually. Zapier is included on the Finalize and Maximize plans, not on Organize. There is a free trial.

Where it fits less well: it covers contracts only. Suppliers, quotes and savings need another tool.

ProcurementExpress.com

ProcurementExpress.com calls itself a purchase order management app. Its Zapier triggers fire on new, approved, delivered and paid purchase orders, and on new and approved invoices. Actions create purchase orders, draft purchase orders, budgets and suppliers. Plans start at Basic, $415 a month, with a 14-day free trial and no card.

Where it fits less well: it is built around purchase orders. If your problem is supplier records, contract renewals or running quotes, it is the wrong shape.

What Zapier costs

Zapier's own Free plan gives 100 tasks a month and two-step Zaps (one trigger, one action). Premium apps and multi-step Zaps need a paid plan. Professional starts at $19.99 a month billed annually, or $29.99 billed monthly, for 750 tasks. Every example below is a two-step Zap. oboloo is not marked as a premium app on Zapier, so each Zap works on the Free plan unless the other app is premium.

Five Zaps a small business can set up

  1. Renewal alerts in Slack or Teams. Trigger: New Contract Notification in oboloo. Action: post to a #procurement channel. The whole team sees a notice window coming, as well as the contract owner. Our guide to contract renewal tracking software covers which dates to track.
  2. Supplier requests from a form. Trigger: a new Google Forms, Typeform or Jotform response. Action: Create New Supplier in oboloo. Staff ask for a new supplier in one place, and procurement checks it before use. See our guide to supplier onboarding software.
  3. Approved suppliers into your accounting package. Trigger: Supplier Updated, filtered on status approved. Action: create a contact in Xero or QuickBooks. Only checked suppliers reach finance.
  4. A read-only supplier list in Google Sheets. Trigger: New Supplier. Action: add a row. Colleagues who never log in can still see who you buy from.
  5. Savings updates to the finance lead. Trigger: Saving Record Is Created or Updated. Action: send an email or a Slack message. Finance hears about a saving as soon as it is logged, which helps when you report savings to your CFO.

How to set it up

  1. Pick one job to automate first. Renewal alerts are a good start because a missed notice period costs real money.
  2. Check both apps are on Zapier and whether either is premium.
  3. Connect your oboloo account in Zapier and choose the trigger.
  4. Add a filter if needed, for example only suppliers with status approved.
  5. Test with one record, then switch the Zap on.
  6. Write down who owns each Zap. When a field changes, someone needs to fix it.

If your process needs approvals before anything is passed on, see our guide to approval workflows for supplier contracts and sourcing.

FAQs

Which procurement software integrates with Zapier?

On Zapier's own app pages we found oboloo, Gatekeeper, ContractSafe and ProcurementExpress.com. oboloo is the only one of the four with a free plan.

Can I connect procurement software to Zapier for free?

Yes, within limits. oboloo is free forever, and Zapier's Free plan allows 100 tasks a month with two-step Zaps. Premium Zapier apps need a paid plan.

What can oboloo automate through Zapier?

oboloo can start a Zap when a supplier, contract or savings record is created or updated, or when a notification fires. Zaps can create or update suppliers and contracts in oboloo.

Can Zapier send contract renewal reminders?

Yes. Use oboloo's New Contract Notification trigger to post renewal alerts to Slack, Teams or email. ContractSafe also has a termination date reminder trigger, on its Finalize plan and above.

Do I need Zapier if the software has an API?

Not always. An API needs a developer. Zapier lets a non-technical buyer connect two apps in an afternoon. oboloo has both: see the oboloo API.
